Where your organisation (for example a municipality, university or company) uses the service and puts member or device data into it, that organisation is the controller of that data and we act as its processor, following its instructions.

- Account data: name, email, password (stored only as a hash, never in plain text) and the identifier from the sign-in provider you choose (Google or Apple), via Synkolab ID (id.synkolab.com).
- Organisation data: the organisations you belong to, your role, and email invitations.
- Account security data: multi-factor authentication (MFA) settings, if you turn it on.
- Device data and telemetry: values sent by connected devices, such as status, energy readings and alarm events.
- Audio announcements: audio that users announce or upload through the service.
- Security logs: IP address, user agent, timestamps and sign-in outcomes.
- Cookies and browser storage: see section 9.
- Information you send us, such as contact-form content and emails you write to us.

- Creating and managing accounts, authenticating you and providing the service you or your organisation requested — contract.
- Sending service emails such as organisation invitations, email verification and password resets from noreply@synkolab.com — contract.
- Keeping the service secure, preventing unauthorised access and misuse, and investigating incidents — legitimate interests.
- Handling emergency calls and audio announcements to protect life and safety — contract, and vital interests (for emergencies only).
- Responding to enquiries and arranging demonstrations — contract / legitimate interests.
- Complying with law and orders of competent authorities — legal obligation.
- Where none of the above applies (for example data that requires consent), we will ask for your consent first and you may withdraw it at any time.

We keep data only as long as needed for the purposes above. Approximate periods follow and may vary with the contract with your organisation and legal requirements:

Primary server location: [confirm country/provider]. Some services, such as Google or Apple sign-in, email delivery and Google Fonts, may process data outside Thailand. Where data is transferred abroad, we ensure the destination or recipient has adequate protection, or apply appropriate safeguards as required by the PDPA.

- withdraw consent you have given;
- lodge a complaint with the Personal Data Protection Committee Office (PDPC).

How to exercise: email contact@comm-link.io from the address linked to your account and say which right you wish to use. We will respond within 30 days of receiving the request and may ask for further information to verify your identity. If the data is controlled by your organisation we will forward the request to it.

We apply appropriate technical and organisational measures, such as encryption in transit, hashed password storage, per-organisation access separation, restricted access and backups. If a data breach creates a risk to your rights, we will notify the PDPC Office and you as the PDPA requires.

The service is not intended for minors (under 20) to register on their own. If we learn that we hold a minor’s data without the consent of a legal guardian where required, we will delete it.
